A useful office fit-out handover tells the facilities team what was installed, how to operate it and who owns each remaining item. Prepare the checklist before the final week so records and demonstrations can be gathered as work finishes. Match every check to the agreed contract scope and have the relevant professionals confirm any technical, statutory or building-management requirements.

Review the space room by room

Take the latest room list and agreed scope on the walk-through. Start with reception and shared routes, then visit work areas, meeting rooms, pantries and service zones. Operate the doors and storage you will use daily. Confirm that the finishes and hardware match the approved samples where applicable. Give each finding a room, description and owner. A photograph can identify the exact location, especially if two rooms look alike.

Separate items that prevent occupation or use from cosmetic items that can be completed later. For example, a missing key and a small finish touch-up have different effects on the next team. Write down the date and person responsible for each agreed action. Have the project team confirm what needs to be resolved before the handover is accepted.

Confirm access and operation

Ask each specialist to demonstrate the agreed operating and maintenance points to the people who will use them. Make sure the facility contact can find service access panels and match labels to the drawings. A neat ceiling is only part of the result. When a component needs attention, the team should have a clear record of where it is and how an authorised technician can reach it.

The HVAC maintenance access guide explains what to check above the ceiling. Review project management and handover coordination if the handover spans several contractors or phases.

Organise the information the operator will need

Collect final drawings, agreed testing records, product and finish references, care instructions and relevant warranty details. Confirm the latest version of each item with the responsible contractor. Keep a room list and a contact list with the records so the next person knows whom to ask about an unresolved issue. The VA commissioning manual provides general background on operating documentation and training.

Before the handover meeting ends, record what was accepted, what is still open and when the parties will review it again. Share the same list with the client team and the contractors responsible for finishing it. If the project is phased, record which areas have been handed over and which drawings still apply to future work.
